Child Protection Policy
Toc H SA Inc trading as Cooinda Retreats has a zero tolerance toward child/client abuse and is committed to providing a safe and secure environment for its Employees, Executive Members (Board), Visitors, Volunteers, Program Participants and particularly for Children and Vulnerable People. Where a child or young person is solely referenced in this policy, it is assumed that the same client protection provisions, policies and procedures apply to any vulnerable person. Where a Cooinda Retreats representative is referenced in this policy, it is assumed to include Employees/Executive Members (Board), Members, Volunteers and Contractors.
All children and vulnerable people, regardless of their gender, race, religious beliefs, age, disability, sexual orientation, family or social background, have equal rights to protection from abuse.
Cooinda Retreats’ Client Protection Policy aims to reduce the risk of abuse occurring, and to ensure that a caring and appropriate response is taken should abuse occur. This policy is designed to provide guidelines for Employees, Executive Members (Board), Volunteers and Contractors in planning Open Camps programs and activities.
Cooinda Retreats supports and respects children, staff and volunteers. Cooinda Retreats is committed to the cultural safety of Aboriginal children, and those from culturally and/or linguistically diverse backgrounds, and to providing a safe environment for children and clients living with a disability.
Cooinda Retreats’ Board is committed to implementing the Client Protection Policy and to training our Employees, Executive Members (Board), Volunteers and Contractors in its content and application.
Privacy & Confidentiality
Cooinda Retreats is committed to protecting the privacy and confidential information of its clients, staff, volunteers, members and others with whom we deal, in the way we collect, store and use information about them. Cooinda Retreats will not disclose any personal or confidential information about people except in accordance with the law and this policy.
Our policy outlines the circumstances in which we obtain personal information, how we use that information and how we manage requests to access and/or change that information. This policy applies to all staff, volunteers and contractors of Cooinda Retreats and its related bodies, including trading entities, projects and programs. This policy conforms to the National Privacy Principles in the Privacy Act 1988 (Cth) and is bound by the Australian Privacy Principles (APP’s) – which replaced the Privacy Principles contained within the act on 12th March 2014.
Cooinda Retreats is working towards a framework and set of principles to ensure that personal information that we collect, store, use and disclose is dealt with in accordance with the APPs. Risk Management
Cooinda Retreats has a risk policy that outlines the principles of risk management which are to be applied by Cooinda Retreats’ board, staff, volunteers and contractors; describe Cooinda Retreats’ risk management framework; and clarify the roles and responsibilities for administering and implementing risk management processes.
The aim of this policy is not to eliminate risk. It is to assist Cooinda Retreats to manage the risks involved in its activities to maximise opportunities and minimise adverse consequences.
Toc H Board, CEO, operational directors and staff are committed to ensuring that they create a strong risk management culture within the organisation. While all aspects or Risk Management are important, a particularly strong focus is applied to all elements of Child Protection.
To achieve this, Cooinda Retreats has created a Risk Management Framework that includes;

- strategic risk register template;
- risk management plan – campsite activities
Cooinda Retreats aspires to become a risk intelligent organisation, and in order to achieve this has adopted a risk management model to allow it to annually assess its current level of maturity and allows it to put in place a risk management strategy for the following year that further increases its maturity.
Cooinda Retreats’ risk management framework is consistent with the Australian risk management standard defined in the publication AS/NZS/ISO 31000:2009 Risk Management, including the principles, framework, and process outlined in the standard.
Working with other Agencies
Cooinda Retreats works with and through a wide range of government, corporate and not-for-profit agencies. Our staff will ensure that they are conversant with the policies of other organisations. Any inconsistencies in approach will be raised and discussed as relevant.
